For an initial assessment, send artwork in an accepted format, preferred dimensions, quantities and a clear brief. Accepting a file does not mean it is print-ready. The selected producer must confirm bleed, colour profile, font handling and the final production format.
In this guide
Explain what the file needs
Distinguish creating a design, adapting existing artwork and assessing a supplied print file. State where the design came from and confirm permission to use it. Another designer’s photo can communicate a reference without granting permission to copy the work.
Provide dimensions with units, printed sides, quantities for each version and personalisation needs. Explain whether related stationery should use the same design.
Confirm production requirements with the producer
Do not assume universal bleed, resolution or colour-profile values from an online checklist. Requirements depend on the job and equipment. Ask the producer for final-file requirements, including font handling and separate finishing layers where relevant.
Screenshots and compressed images may explain an idea but can be insufficient for production. The form’s accepted upload formats are safe file-receipt rules, not a guarantee that those files can go straight to print.
Control versions and personal information
Give files clear version names. Before approval, check the exact artwork prepared for production. Do not put guest lists, addresses or personal wording in publicly shared links. Use an agreed private channel when the information is needed.
Agree file adaptation, checking and printing as separate quote items. Do not assume corrections or design development are automatically included.
- Choose design, adaptation or printing.
- Send the file and assessment details.
- Obtain the selected producer’s requirements.
- Check and approve the final version.
Put your stationery brief together
Choose a design idea or send your own artwork. State quantities for each item, printed languages, event location and preferred delivery destination and date. The team will check production options and prepare a quote.
