Plan around dependencies: event details and invitations first, then replies and personalised details, then final cake size, decoration specifications and handover. You can enquire about availability and lead times earlier at any stage. There is no universal production calendar for every supplier.
In this guide

Confirm what guests need to know first
Before drafting an invitation, check names, date, ceremony and reception locations, a reply contact and exactly who is invited. Separate confirmed information from decisions still being discussed.
If guests are travelling from another country, check the local date, full address and language of the instructions carefully. Do not promise an unconfirmed programme or venue arrangements in the invitation.
Use dependencies rather than fixed weeks
This table shows a sequence, not guaranteed production times or booking deadlines. Build the actual calendar after receiving the selected suppliers’ answers.
| Stage | What you need to know | Next task |
|---|---|---|
| Invitations | Who is invited, where and on which date. | Draft the wording, recipient list and reply method. |
| Menus and named cards | Guest replies, final names and menu contents. | Check spelling and approve the proofs. |
| Cake and decorations | Serving plan, expected guests and placement. | Agree models, size and handover details. |
| Venue handover | Address, contact, local time and access rules. | Get separate confirmation from each supplier. |
