Approve a specific proof version together with wording, contents, quantities and agreed materials. Check both sides, languages, names and links. Changes after approval require renewed agreement on the affected details.

Check facts and readability
Compare names, date, local time, venue, address and RSVP with your final wording. Check every language and personalised version, not just the first card. Ask another person to find the essential facts in the proof without explanation.
Review the artwork at the agreed size. Check the reverse, fold orientation and insert order where applicable. Test QR codes and destination links: an attractive code that leads to the wrong page is still incorrect.
Check the order specification
Match every item to the quantity, material, size and finish in the quote. Separate named copies from unnamed spares. Check whether envelopes, assembly and delivery are included.
A website visual explains a design idea. It is not an approved production file and does not confirm stock, exact colour or printing process.
Record approval against a version
Ask the manager to identify the proof and specification version. Approval should refer to those files and details with a date and a clear record of what was agreed. Opening a page does not count as approval.
If wording, quantity, material or contents change, request updated terms and renewed approval. Avoid circulating different files without identifying the current version.
- Check facts and every variant.
- Check specifications against the quote.
- Confirm the specific version to the manager.
- Obtain a revised version for changes.
Put your stationery brief together
Choose a design idea or send your own artwork. State quantities for each item, printed languages, event location and preferred delivery destination and date. The team will check production options and prepare a quote.
